Document Library
The library with its single library sections is the main structure for managing documents in the system. For each section you can decide
- which site/ship will have access to the documents of this section (see Assigning Documents To Sites for more)
- if the documents of a section will be managed by using advanced document management features (controlled documents) or if these documents will be just made available to other sites without further version control
Use the button New to create a new section in a library. The currently selected section will be used as the parent section. While creating a section you will need to enter a name for the section and you will also have to decide if this section will be used for managing controlled or uncontrolled documents.
Special Handling of Imported Documents
If your document library has been created by importing data from other systems, the first level of the library tree will be considered being the folders in your library and the second level being the chapters within those folders.

Batch Release
If all documents have been already reviewed, the Batch Release tool can be used for approving and releasing all documents that have not been approved and released yet. This tool can be found under Tools > Batch Release. Due to the high impact on the document release process, this feature is available to users only if they have the "release document" access right.

Updating, Distribution of Updates
Document updates will always be distributed automatically to assigned sites/ships as soon as a newer and released version of a document has been flagged for distribution via the Approve Distribution command. Whenever a new document will be created and released or a new version of an existing document will be released the system will check the library section assignments for performing an automatic update of already distributed document packages.
For some licenses the Approve Distribution button won't have any function as the approval for distribution may be automatically given together with releasing a document.
The actual creation of transfer packages will be initiated with the Send Updates command. Within the Send Updates dialog you can initiate a transfer to selected sites similar to the normal (see Database Replication) module.
