Managing Job Codes
Job codes are the essential item for describing maintenance procedures and providing access to related resources available in other part of the system.
Job codes are managed per vessel. Any change applies only to the currently selected vessel/site.
The Job Codes configuration can be found in section Components in menu Configuration > Job Codes after selecting a vessel/site first. The system will present the full list of all defined job codes and allows the management of the individual job code entries.

- Job Code
- Assing a unique job code
- Job Name
- Name of job to be used in the system
- Maker (optional)
- Identifies the component maker who created the job description
- Pre-Warning (days) (optional)
- Number of days before a planned maintenance job should go in the warning state. This can be used if the execution of a maintenance job requires preparation (e.g. ordering spare parts) Default is a pre-warning of 14 days.
- CSM relevant
- Tick this checkbox if this job is relevant for continuous survey. This information will be used later for creating continuous survey related reports.
- Risk Assessment required before execution
- This option identifies maintenance job that required the execution of a risk assessment before the actual execution of the maintenance job
- File/Form
- This can be used for attaching a file to the job code detail. This can be a job description in any supported file format or a form to be used for reporting measurement value in the maintenance report.
This feature is available only if legacy data have been imported that embed document files directly into the job description. It will be automatically hidden is no such data exist. - Report expects attachment

If the reporting of an executed maintenance job requires the attachment of a document (e.g. form with measurement values) this option can be activated for checking if a file has been attached to the report. Of course it cannot be checked if the correct form was attached. The job description should provide details about the information to be added to the report. Reports for jobs having this option active cannot be saved as long as no file was attached to the report.
- Create sample analysis request Using this option will enforce the creation of a sample analysis request (e.g. sending lube oil samples to a lab). Activating this option will also activate the sample analysis tracking module in the system.
- Approval/Check required after execution (optional)
- This option can be activated if a maintenance job requires an additional approval after the maintenance report has been created. It can also be used if follow-up tasks to a maintenance job need to be tracked (e.g. receiving of oil sample reports). Via
max. days for check/approvala due date can be defined.
Tab Job Description
The job description is a free text to be used for describing a maintenance task to be executed. It provides minor formatting features within the editor (e.g. Ctrl+B for making text bold). With the function Open in Editor the job description will be opened in a simple text editor that provides basic formatting options.
Tab Document References
Instead of writing the job description or attaching a file to the job definition, a job code definition can also contain links to documents in the Documents module. Before a document can be linked to a job code, it must be first added to the Documents module.
IMPORTANT
Only the usage of document references allows the fleet-wide management of job descriptions. Updates to related documents will be automatically made available to all vessels/sites that have a reference to the affected document.
Using direct file attachments or entering a free text as job description instead requires an update of every single vessel/site where an update of a job description needs to be applied.
Tab Forms References
Similar to adding reference links to content in Document module the Forms References list can be used for linking to forms managed in the Forms Manager module. For each form added to a job code it can be individually decided if the usage of a linked form is mandatory. While creating a job report, this setting will be checked before allowing the saving of the report.
Using Forms References instead of Document References has the big advantage that linked forms will be filled out with the editors provided by the system.
