Counterpart Changes

Ship and office work on the same records — risk assessments, incidents, audits and drills. Noticing that the other side has touched one of them used to mean opening the records one by one. Four dashboard entries take that over:

• Risk Assessments changed by ship/office
• Incidents changed by ship/office
• Audits changed by ship/office
• Drills changed by ship/office

On board each tile lists what the office has changed; in the office it lists what the ship has changed. Your own changes never appear — the tile is only ever about the other side.

Switching a tile on

The tiles are not active by default; everyone decides for themselves which ones they want.

1. Open Configuration > Configure User Dashboard.
2. Find the module you are interested in and tick the entry ending in changed by ship/office (counterpart).
3. Adjust the settings if needed (see below).
4. Save and refresh the dashboard.

What counts as a change

Two things put a record on the tile: the other side editing and saving it, and the other side adding a comment — even without changing a single field. Both appear with the date of the change.

An empty tile therefore means there has been no activity from the other side in the chosen period. It is not an error.

Clearing a line again

Each line stays until you have seen the record. There are three ways for it to go:

• Open the record in its module — that marks it as read.
• Mark read on the line, without opening the record at all.
• Batch - Mark read for several lines at once. Every line has a tick box in front of it, ticked by default; untick what you want to keep and press the button.

Two things are worth knowing. The preview does not count as read — clicking the name opens a preview and deliberately leaves the line in place, so you can look first and decide afterwards. And the read state is yours alone: if a colleague opens the record, your line stays. Everyone works through their own list.

How far back a tile looks

In the settings of the entry there are two mutually exclusive options:

• Changes within last (days) — the tile shows changes from the last few days, by default 14. An empty field or 0 falls back to those 14 days.
• All changes until marked as read — the day limit no longer applies; entries stay until they are marked as read, however long that takes.

Switching the second option on for the first time can bring up a lot of older entries at once. Pressing Batch - Mark read once starts you from a clean slate; from then on only new activity shows up.

Which ships a tile covers can be selected as well — useful for inspectors looking after a group of vessels, or when covering a colleague's ships during their holiday.

Limits

A tile shows at most the 500 most recent entries and never anything older than one year. With the 14-day default this is never reached in everyday use; it only matters right after switching on All changes until marked as read on a system with a long history.

These four entries are shown on the dashboard only — they offer no notification channel, which is why their settings dialog has no Notification tick box.
