What the User Dashboard is for

Everybody working with ZeeBORN has a handful of things they must not miss: a certificate about to expire, a requisition waiting for approval, a finding assigned to them, an analysis result nobody has looked at. The User Dashboard is where ZeeBORN collects exactly those things - for you personally.

Two points make it work well in practice:

  • You decide what appears. Nothing is switched on for you automatically. You pick the entries you care about, and ignore the rest.

  • Everyone has their own dashboard. Your settings belong to your user account only. A colleague who wants different information configures it separately, and what you mark as done does not disappear for anybody else.

There are 80 different entries to choose from across all modules. This guide explains how to configure them (sections 2 to 6) and lists every single one of them (section 7).

Where to find it

The dashboard itself is the User Dashboard page you can open from any ZeeBORN module.

To change what appears on it:

  1. Open any ZeeBORN module.
  2. Go to the ribbon Configuration.
  3. Click Configure User Dashboard.

You now see the list of everything that can be shown to you.

The configuration window

The list is grouped in two levels: the module first (for example "Incident Reports"), and underneath it the groups of that module (for example "Incidents", "Items", "Other"). You can fold and unfold these groups.

Control What it does
Collapse / Expand Folds or unfolds all groups at once. Useful because the full list is long.
Overview Shows a summary of everything you currently have switched on - the fastest way to check your own setup.
Green / grey icon in front of an entry Shows whether the entry is switched on. Clicking it toggles the entry.

Switching an entry on opens its settings straight away, so you can choose how you want to be informed. Switching it off removes your settings for that entry.

The three ways to be informed

Every entry can be shown as a User Dashboard tile - this channel works reliably today.

Notification and E-Mail exist as settings in the configuration dialog, but are not yet reliable - this is still being worked on. The tick boxes can be set, but for now the User Dashboard tile is the only channel to depend on.

In addition, every entry has a Priority: Critical, High, Normal or Low. The priority controls how prominently the entry is flagged and sorted, so the important things stay at the top when your dashboard fills up.

The settings an entry can have

Not every entry offers every setting - a certificate warning needs a number of days, a reminder does not. Section 7 lists exactly which extra settings each entry offers. The complete set is:

Entries with a batch action

Five entries let you clear several records at once instead of one by one: Unread Audits and the four changed by ship/office entries. On those tiles each line has a tick box in front of it, ticked by default. Untick the lines you want to keep, then use the button at the top of the tile - on the changed by ship/office tiles it is labelled "Batch - Mark read" - and everything still ticked is cleared in one go.

Why you may not see every entry in the list

If an entry described here does not appear in your configuration list, it is almost always one of these four reasons - and none of them is a fault:

  1. Office-only entries. Many entries only make sense ashore, for example "Change Requests available" or "Replication Merge Conflicts". On board they are not offered at all. Section 7 states this for every entry.

  2. Permissions. You only see entries for modules you are allowed to use. If a whole module is missing from your list, that is a question for whoever manages your user rights.

  3. Modules your company uses. Entries belonging to a module your company has not licensed are not shown - for example the EU ETS entries without the EU ETS module.

  4. Company settings. A few entries depend on a feature being switched on for your company, such as double invoice approval or the Procureship integration. Section 7 notes these.

How to read the table. Where tells you whether the entry exists on board as well or only in the office. Extra settings lists the additional fields from section 5 that this particular entry offers - "-" means it only has the standard settings (channels and priority).

Three setups that work well in practice

The dashboard is only useful if it stays short enough to be read. These three examples are a good starting point - adjust them to your own role.

Superintendent in the office (a handful of ships). Switch on the entries about work waiting for you: Open Requisitions, Open POs, Task/Items assigned to Current User for the modules you work in, and the four changed by ship/office entries so you notice when your ships have been active. Restrict everything with Sites to your own vessels. Keep an eye on your User Dashboard tiles regularly - Notification and E-Mail are not yet reliable enough to depend on.

Master or officer on board. Switch on Overdue Site Certificates and Overdue Component Certificates with a comfortable warning period, the assigned to Current User and assigned to Role entries of the modules you work with, and the four changed by ship/office entries so you see what the office has done. On board you do not need to restrict by ship - there is only one.

Someone who is rarely in ZeeBORN. Pick very few entries and check your User Dashboard tiles whenever you do log in. Priority Critical or High for the ones that really matter, so the important tiles stand out. (E-Mail alerts for infrequent users are planned but not yet reliable - see section 4.)

Questions we get asked

I switched an entry on and nothing appears. Is it broken? Most likely not. A tile only appears when there is actually something to show. Check the warning period too: with "due in 14 days", a certificate expiring in three months will not appear yet.

A colleague sees a tile that I do not have. Either you have not switched the entry on, or you do not have the permission for that module, or you are on board and the entry is office-only. Section 7 tells you which of the three it is.

I marked something as read, and it came back. Marking as read applies to the state at that moment. If the other side changes the record again afterwards, it reappears - that is the point of the entry.

Does marking as read affect my colleagues? No. The read state belongs to your user account alone. Every colleague works through their own list.

How do I see what I have switched on? Open Configure User Dashboard and click Overview. That page lists your current setup.

Good to know

  • Nothing is switched on for you automatically. A new user starts with an empty dashboard and builds it up as needed.

  • Your settings survive updates. They belong to your user account, not to the installation.

  • Ship and office are configured separately. If you work in both, you configure them on each side. That is deliberate: what matters on board is rarely what matters ashore.

  • The tiles are a reminder, not a record. They tell you something needs attention; the authoritative data always lives in the module itself.
