Reminder

A reminder is a note with a due date and a responsible user, attached to a record - a risk assessment, an audit finding, a purchase order, a bunker report and many more. Use it when something has to be picked up again later.

Adding a reminder

  1. Open the record.
  2. Click Add Reminder in the ribbon or action bar of that record.
  3. Enter the text, the date the reminder is due, and who is responsible.
  4. Click Save.

Like comments, reminders can be added regardless of the status of the record - also on records that are closed, inactive or version-controlled.

A reminder can be sent as an Outlook mail notification in the same step, by ticking Send Mail and choosing a recipient. The draft then also contains the due date and the responsible user. The mechanism, the setup and the list of modules that support it are described under Comments.

Where your reminders appear

In the module itself. Most modules have a reminder overview in their tree or their More Actions menu, usually in two forms:

  • Reminder List - sorted by the reminder date.
  • Show all reminder - sorted by the date they were created.

Clicking an entry opens the record it belongs to.

In the User Dashboard. Each module has its own dashboard entry, for example Show Reminder (Lube Oil) or Show Reminder (Drugs). Like every dashboard entry it has to be switched on once per user: open the User Dashboard, click Configure, enable the entry and save. The full list is described under User Dashboard.

Each line shows two columns telling you what the reminder belongs to:

Column What it shows
Site The vessel the record belongs to.
Subject The reference and title of the record.

Please note

A reminder belongs to the record it was created on. If a record is deleted, its reminders go with it - so a reminder can never keep alerting you about something that no longer exists.
