Reports for Audit and Inspect
- Loading selection for a report is retained when calling Load again in a report (this we still need to implement for the other safety modules)
- MoU is always offered for reports, but only evaluated if the audit type specifies that regions are used
Item Overview
The overview gives you a detailed overview about all inspections and items. In the screen, you have the option to either show all entries (in this case just use “OK” as all fields are marked per default) or define your loading options by choosing a status, responsible person or set a time frame for reporting date respectively due date. In the following list you may sort according to the several column headers (e.g. due date) or drag a column header to the top in order to group accordingly. Buttons “Show Details Item” and “Show Details Inspection” contain a link to the respective inspection or item.

With “Check multiple item” the report “Item Overview” can be created for more than one item type.

Planned Audits
In this list dates for future, planned audits can be set. Gives an overview about all planned (and the last) audits. If a time frame for a certain inspection type has been set by the administrator, this will also be shown here. For time intervals same principle applies as for annual class surveys i.e. you have a screen in which inspection has to be completed (shown in brackets), however, anniversary date will not change for forthcoming inspections.
Audit Schedule Overview
In Audit Schedule Overview you can see the date of the last report of an audit type and the date for the next planned audit, if available.
The overview shows a year as a timeline — twelve months of four weeks each — per vessel and audit type.
Moving between years
Above the timeline sits a navigation bar with the displayed year in the middle and the neighbouring years left and right. Clicking one of them moves a year back or forward, as far as you like in either direction. Filters that are set — vessels, audit type and so on — are kept when the year changes.
Audits that cross the turn of the year
A planned audit usually has a tolerance window in which it may be carried out. That window is also shown when the audit itself falls in a different year, so what is coming up at the start of next year is already visible during this one:
- An audit planned for early next year shows its lead-time window at the end of the displayed year, in yellow. The audit symbol itself sits in the following year and is reached through the year navigation.
- An audit from the previous year that was not carried out, and whose tolerance window reaches into the new year, appears at the beginning of the year in red, because it is overdue.
Only the bar is drawn in the neighbouring year — the audit symbol stays in the year it belongs to. Follow-up bars appear only for audits that have not been carried out yet.
The colours mean: green = completed · yellow = within lead time or tolerance · orange = due · red = overdue.

Attachment list in the official report
The official report can list the attached files, so whoever reads the printed or saved report sees which documents belong to the audit and to each finding — even without access to the system.
Switch it on in the Audit & Inspect module under User Settings, with the entry show Attachment list in official report (if attachments were exported). The setting belongs to the user and is remembered, also after restarting the program.
With it ticked, saving the report through Save (official) — in any of its variants, with Attachments or without Attachments, with or without follow-up — adds two compact tables listing the attachments by title and file name:
- Inspection Report Attachments — the documents attached to the audit itself
- Task Attachments — per finding, the documents attached to that finding
These are plain lists for the printed report: they name the attachments, they do not open them. If the report is saved with Attachments, the listed files are exported alongside it as before, and the list then works as their table of contents.
Unticked — the default — the official report looks exactly as it did before.
