# Schedules

The Schedules module of the Planned Maintenance Module is devided into the following sections.

Section Description
Overview Shows the status for all defined jobs for a vessel (or a group/fleet of vessels). By default, on-demand jobs are not included in the overview.
Reports This section gives access to all already created job reports for a site.
Open Checks/Approvals If maintenance job require an additional check/approval after the creation of a maintenance report, related reports are shown here. Reports can be reviewed, updated and can be finally approved.
Rejected Reports This section lists all maintenance reports that have been rejected.

# Section Overview

In the Overview section you have access to the list of all maintenance jobs for a site (or selected fleet) and the current status of each job. In this section you have access to the following functions:

Function Description
Calculate Schedules This function calculates the maintenance schedules for the next week, next month or for a whole year - depending on your selection. In result you will see the schedules for all due maintenance jobs for the selected ships. If there are older maintenance jobs that haven't reported yet, these jobs will be also shown in the list as overdue jobs indicated by showing the due date in red color.
Report This function helps you to create a maintenance report for one of the selected maintenance jobs. For more information please see chapter Reporting.
Show Details Shows the details of the maintenance jobs. In the details view you'll have also access to the data of the affected component, older reports for the same job, lists of spare parts and many other information that might be useful for preparing a maintenance task.
Component Details Use this function for seeing the details of the component that is affected by the selected job.

# Due Date Forecast

Compared to earlier versions of the ZeeBORN Planned Maintenance module, the overview now shows only the last known due date for a maintenance job. For creating an overview of all due dates including considering maintenance intervals for each job and resulting due dates for a given period, the forecast feature available under Reports > Forecast can be used for creating a related list for a defined period of time.

# Delaying Job Execution

If a planned maintenance job cannot be executed at the calculated due date (e.g. due to missing spare parts, bad weather conditions etc.), a planned delay can be added to the system.

In Schedules view click button Delay for adding and managing a job execution delay.

A maintenance job's due date can be delayed by

  • defining a new fixed execution date
  • adding a defined number of additional running hours to the due date calculation (if enabled in customer's system configuration)
  • adding a defined number of additional days to the due date calculation

The maximum number of days a job can be delayed depends on the user access rights of the user adding the delay and the maximum delay values defined for the particular job code.

  • Users with the access right Maintenance > Schedules > Postpone Job (Authority Level 1) can by default delay a job for up to 30 days.
  • Users with the access right Maintenance > Schedules > Postpone Job (Authority Level 2) can by default delay a job for up to 45 days.
  • Users with the access right Maintenance > Schedules > Postpone Job (Unlimited) can delay a job by up to 6 months (180 days).

The maximum number of days a job can be delayed per authority level can be adjusted under Configuration > Job Codes.

# Section Reports

The Reports section lists all already created job reports. Due to the huge number of reports managed in this section, the default view of reports shown in the list is limited to the reports created during the last 6 months. If you want to see all job reports, choose all entries under View.

Details of a report can be viewed by double-clicking on a report entry in the list or by using the function View Details. The Show Findings option available in the menu bar allows to show the findings text of each report within the list of reports. This option is switched off by default for providing a better overview.

Depending on the assigned user access rights, you'll find here the following functions:

Load Period This function allows to filter the list of job reports by defining a start and end date for the period the jobs have been created in.
Update Report While the modification of a job report is restricted, the Update Report functions allows adding additional comments to a report.
Reject If a report was created for a wrong job or component, this report can be rejected. For keeping the audit trail, rejected reports will be moved to section Rejected Reports

# Section Open Checks/Approvals

If a maintenance job requires an additional check/approval after the creation of a report, related job reports will be shown in this section, waiting for review and approval. Reports added to this section get a due date assigned depending of the definition in the related job code or individual job.

This section can also be used if the execution of a maintenance job involves the creation of a oil/fuel/water sample to be sent to a lab for analysis. While the actual report can be created and store in the system, via the Open Checks/Approval section the return of the sample analysis can be monitored and the analysis report can be finally added to the maintenance report.

# Section Rejected Reports

This section collects all maintenance reports, that have been rejected. The list of rejected reports is maintained for providing an audit trail of documents created and processed within the system.

# All Active Jobs

In the menu bar you can call up the report All Active Jobs showing you all maintenance jobs that have been created for the selected site/ship. This function will show you a list with all known maintenance jobs and allows you to arrange the data in many ways (sorting, filtering, arranging in groups). For further processing of the data you can export the data shown on screen to an Excel file by clicking the button Export to Excel.
