Getting Started

There are different report types. The types are arbitrary and will be defined in office.

New Report

For a new report hit New and choose the report type.

There could be up to five tabs in the report: Details, Root Cause, Controls, Corrective/Preventive Actions and Attachments.

TAB Details

Today is always shown as the report date and logged in user for "Reported by". Both can be changed. With “Select Name” a name from user list can be chosen and with “Enter Name” a free text name can be insert (if the reporting person is not a ZeeBORN user).

Depend on report type different fields will be shown. If there's a black arrow at the end of the line, you can select from a list. Fields with a 0 always require numeric values, Date can be selected from calender, Time has to be given in format hh:mm, and all other fields are free text fields.

Root Cause

Depend on the configuration different rows for different types of information will be shown. Also depend on the configuration the data must or can be entered. In the Risk Matrix a level must be selected.

Controls
Assign existing Risk Assessment

A filled in Risk Assessment can be attached. Please note: only Risk Assessments which are approved in office can be attached.

Search Risk Assessment If you know the name of the Risk Assessment you can search for this Risk Assessment. You need only a part of the name. Click on the needed Risk Assessment. Select from Operation Tree Valid filled in Risk Assessments will be shown in the tree under Operation (shown in grey) sorted by Operation groups. The needed Risk Assessment can be selected with a click on the name of the Risk Assessment and then click OK.

With Assign the marked Risk Assessment will be attached. Hit “Show Details” for further information to Risk Assessment. Select from Operation Tree Otherwise you can hit “Select from Operation Tree”. For all operations in grey letter, a Risk Assessment is available. Click on arrow to open the operation. Go on Risk Assessment and hit “OK” for attachment. If you can’t find the Risk Assessment with “Search” you can look for it. With Cancel the action will be interrupted. With Assign the RA can be inserted. With Share the RA can be print or saved. `Cancel is for interrupting the process.

The button Remove will only be visible when Risk Assessment is attached. Hit Remove for unlink the Risk Assessment. “Failed Control” or “Further Control” can be added as free text.

Corrective/Preventive Actions

Corrective, preventive, and immediate actions can be entered. Depending on the configuration, some or all the information may be mandatory. Documents can be attached to each action, and an action type can be selected from a list. A comment can be entered for each action type. Attachments Attachments can be added by using Attach or drag & drop. Our system gives the information, if mandatory data wasn’t inserted when report will be saved.

Optionally attachments can be added. Attachments can be added by using Attach or drag & drop.

Add

You can add documents/files

  • from scanner
  • from file
  • from file with deleting (original file will be deleted from disk and will be available only in ZeeBORN System)
  • multiple files
  • multiple files with deleting
  • link to ZeeBORN Documents (if available for this module)

Approval on board

Once you collected all necessary details you have to approve the report. If the ship approved the report, it will no longer appear in the open folder – you find the report now in the approved folder of the current ship. No further adjustments are allowed on board.

Share

Instead of a typical Print or Export function, the system uses a Share functionality similar to features found on mobile devices.

Almost any document or data list shown in the system can be shared.

Depending on the type of data to be shared (document or data list), the following share options are available:

  • Send to Printer
  • Send E-Mail
  • Export to PDF file (documents only)
  • Export to Excel file (data grids only)

You will find the Search Function under Button More Actions or via the shortcut F3. You may either search via Name, Number or a full text search (also including the description of items). Use “OK” and you will be guided to the selected report or item.
