ESP Program – Customer Documentation

New Tab in Site Manager

A new tab "ESP Program" has been added to the Site Manager, placed after the "SBM & Component Certificates" tab. It provides a centralized location to manage Enhanced Survey Programme (ESP) documents per vessel.

Features

Document Types

The following document types have been pre-configured as requested:

  • Ship Construction file
  • Coating technical file
  • 1st / 2nd / 3rd Intermediate Survey Report
  • 1st / 2nd / 3rd Special Survey Planning Document
  • 1st / 2nd / 3rd Special Survey UTM Measurements
  • 1st / 2nd / 3rd Special Survey Condition Evaluation Report (CER)
  • 1st / 2nd / 3rd Special Survey Report
  • 3rd Intermediate Planning Document / Report / Evaluation Report
  • CAP Survey Report
  • CAP Certificate
  • Fatigue analysis report
  • Occasional Survey Reports
  • Annual Survey Reports

The list is fully configurable — document types can be added, renamed, deactivated or deleted through "Manage Document Types".

Attaching Documents

  1. Select the vessel in the Site Manager tree
  2. Click on the "ESP Program" tab
  3. Click "Attach Document"
  4. Select the appropriate document type from the dialog
  5. Choose one or more files to attach
  6. The files are stored and grouped under the selected document type

Multiple files can be attached to the same document type.

Viewing Documents

  • The dropdown at the top lets you either view all documents grouped by type, or filter by a specific type
  • Only document types that contain files are displayed — empty types are hidden to keep the view clean
  • Groups can be collapsed and expanded individually by clicking the arrow next to the group name
  • Use Layout → Expand All / Collapse All to toggle all groups at once

Working with Documents

For each attached file you can:

  • Click the filename to open the file directly
  • Save to export the file to a folder of your choice
  • Delete to remove the file (with confirmation)

No Expiration or Due Dates

As requested, the ESP Program module stores files without expiration dates or due date tracking — it is a pure document archive.

Permissions

Access is controlled via user rights:

  • View ESP — allows viewing the ESP tab
  • Attach/Delete/Edit ESP — allows attaching, deleting and saving documents
  • Manage ESP Document Types — allows editing the list of document types

Open Questions / Clarification Needed

Before the module goes into full production, please confirm the following:

  1. Vessel-specific documents: Are the documents uploaded for a vessel intended exclusively for that specific vessel, or should they be accessible to other vessels / the fleet?

  2. On-board access: Should the ESP documents be visible and accessible on board the vessels, or are they for office use only?

  3. Further processing: Is the ESP Program module intended as a pure document archive, or should there be additional functionality (e.g., notifications, reports, status tracking, sharing)?

Your answers will help us finalize the replication setup and determine whether any additional features are required.
