Closing the Safety Report

A safety report attached to an audit is closed from the audit itself, not from the safety report editor. The editor has no close function of its own — this is the only place where it happens.

Closing the report

  1. Open the audit in the Audit & Inspect module.
  2. Find the safety report tile in the audit's detail view. It is only there if a safety report is attached.
  3. Click the red Close Report button and confirm.

While closing, tasks are created from the observations — one per observation whose category is set up to create audit tasks. Observations in categories without that setting close without producing a task. The audit is linked to the report, and the report is set to closed; where office approval is required, it is set to approved on board instead.

Afterwards the tile refreshes and the button disappears.

When the button is not there

The button only appears when all of the following apply:

  • a safety report is attached to the audit,
  • the report is In Progress or Approved on Board — a report that has not been started, or is already closed, does not show it,
  • and you hold the necessary permission. Office users always do; users working on board with a vessel licence need the right for closing on board as office crew. There is a matching right for filling out on board. Without them, these buttons stay hidden on board.

Audit types that require office approval

For audit types where the office has to approve — a master review, for example — the report is always closed by the office. On board, once filling out has started, a green Approve on Board button appears instead. It hands the report over to the office; the red Close Report button remains office-only in this case.

When closing is refused

If an observation in the report has no category assigned, closing is blocked and a message asks for the category. Assign it and close again.
